Job Description:

Gift of Life Donor Program, the non-profit agency serving eastern Pennsylvania, southern New Jersey and Delaware, is responsible for recovering and distributing organ and tissues used in life-saving and life-enhancing transplants.

This is an exceptional opportunity for an experienced Administrative Assistant to provide administrative and secretarial support to Clinical Education staff & the Quality Assurance Director. You will work in collaboration with and support clinical education staff in providing a wide variety of education and training services provided to clinical division staff. You will coordinate the logistics associated with workshops and didactic training events and programs and perform related duties including typing, filing, scheduling, record keeping and obtaining supplies. You will coordinate direct mailings, work on special projects, schedule and organize meetings, travel, lodging, conference services and department activities. You will relate with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization requiring you to answer non-routine correspondence and assemble highly confidential and sensitive information. Successful candidates must be able to exercise independent judgment to plan, prioritize, and organize a diversified workload, and create/develop visual presentations using Microsoft Word, Excel and Power Point software.

Associate degree, (bachelor degree preferred) and five years of Administrative Assistant work experience in a healthcare, educational or related environment is required.

Experience coordinating and/or managing projects, events, workshops or educational programs and the ability to collaborate and work independently required. Expertise using Microsoft Office required. Work requires an extensive command of the English language and grammar.

Must demonstrate a high level of interpersonal skills to handle sensitive and confidential situations; display a professional demeanor and appearance; demonstrate poise, tact and diplomacy; Use tact when communicating; Treat others respectfully and uses mature judgment when deciding what and how to communicate.

Must be able to meet needs of internal and external client; Act in a courteous, positive and responsive manner; plan proactively and anticipate potential issues, organize and prioritize work; multitask projects simultaneously and meet deadlines, follow through on assignments and open issues with attention to detail, effectively respond to a variety of situations, independently undertake steps to improve performance, find solutions to various administrative problems and resolve problems.

Analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work. Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
